First things first: write a job specification

Writing a job specification is perhaps the single best thing you can do to help make a success of your online recruitment campaign.


Why writing a job specification is so important

Too many companies make the task of recruiting more difficult for themselves by having an unclear idea of the vacancy they actually want to fill. Writing a job specification helps you truly understand the job you are hiring for: you will identify the experience necessary to do the job, the education and skills required, the talents and traits in the person you are looking for, and even, sometimes, the kind of personality needed. The Job Specification

Be clear about these key job specifications:

    *
      Decide on the job title.
    *
      Write a clear description of the nature and objectives of the job.
    *
      Prepare a list of the main duties, tasks and responsibilities of the job.
    *
      Identify the position in the company and the reporting lines.

Don't worry if half-way through the process you find yourself going back and changing your spec. It's better to change the specification now rather than when you have someone in the job.


The Person Specification

Be clear about the qualities you are looking for in the person:

    *
      What educational requirements are necessary to do the job. Also, think about what educational requirement might not be necessary but what you might very well consider desirable.
    *
      Establish what skills are necessary to do the job as well as those that are simply desirable.
    *
      Establish what aptitudes are necessary and those that are simply desirable.
    *
      Establish what previous work experience would be necessary to do the job and, again, that experience you'd like to the person to have.

Note: In many jurisdictions it is illegal to discriminate against applicants on the grounds of sex, race, age, disability, sexual orientation, religion or belief. Take care to ensure that your ad and selection procedure conforms to applicable anti-discriminatory laws.


The Salary

Establish the salary you want to pay for the job. You can use salary surveys to find the market rate of the job. Alternatively, have a look at the job board you are using to see the rates of pay for jobs similar to yours. Be sure to consider bonuses, pensions, health care etc. as part of this or the complete package.


The Application Process

While not strictly part of the Job Specification, you should also consider the application process. In your advertisement you will have to indicate how candidates should apply for your vacancy. Do you want them to mail you a covering letter and curriculum vitae? Do you want them to apply by email, sending a covering note and attaching a CV? Do you want candidates to apply via your own website?

Nowadays it's usual for candidates to apply by email. If you are going to have candidates apply this way you should consider setting up a specific application email address e.g. jobs@yourcompany.com. Not only will this prevent your personal inbox being filled with applications (and spam) but you can also set up an auto responder to let candidates know that you have received their application. Of course, whatever application process you choose, be sure to reply to each candidate promptly and let them know what happens next with their application.


Establish the Selection Process

Again, while not strictly part of the job specification you should also take time to think about the selection process. Once you have received your applicants you will then have to sift through them. Having a clear job specification will allow you to identify those candidates that best meet your requirements. You can then invite them for interview.
